PROJECT INFORMATION: The County of Stearns is seeking proposals from qualified vendors to provide Stearns County Sheriff's Department with Document Scanning/Digital Imaging and Indexing Conversion Solutions for hardcopy records currently in storage. The primary goal of this Project is to implement a solution to convert assorted documents digitally, index them, and make them easy to access and search.

PROPOSAL SUBMITTAL: ELECTRONIC BID SUBMISSIONS ONLY shall be received by the Bidding System online through Bids & Tenders not later than 11:00 AM, Thursday, April 18, 2024. Hardcopy submissions are not permitted.

PRE-PROPOSAL SITE-VISIT: The County will conduct a site visit with interested vendors at 9:00 AM CT, Wednesday, March 27, 2024. Interested vendors should meet in the lobby of the Stearns County Law Enforcement Center(LEC), 807 Courthouse Square, St. Cloud, MN 56301. The purpose of this meeting will be to allow vendors the opportunity to view the type and amount of material the County wishes to have scanned and digitized.  Although attendance is not mandatory, it is highly recommended.

AWARD: Proposals submitted in response to this RFP shall be valid until August 1, 2024. The County of Stearns reserves the right to reject any or all proposals, to waive informalities, to award the Contract in whole or in part, and to award to the Vendor the County determines is in the County's best interest.
